We are currently seeking a Scheduler in our Flight Services department at our Hart Field, WV location.
In this exciting role, the candidate will receive and schedule air transportation requests for the transport of Company and non-company personnel, and schedule appropriate aircraft and crew.
Additional Responsibilities include:
1. Assign company owned or operated aircraft to meet the travel requirements of Senior Management. Schedule both domestic and international flights. Coordinate passenger itineraries and schedules, identify suitable airports, and select the appropriate aircraft and crews for trips.
2. Communicate with Pilots, Executive Assistants, Maintenance Technicians and various support personnel to ensure accurate comprehension of the corporate flight schedule.
3. Monitor the daily fleet operations. Communicate, in a timely manner, issues that may negatively impact scheduled flights such as weather, ATC delays, aircraft mechanical problems, and evolving executive schedules to the Administrative Assistant or the Senior Company Employee on the trip. Reallocate aviation resources in response to changes.
4. Ensure that requirements regarding applicable department and Federal safety regulations such as equipment currency, flight and duty time are met. Be intimately familiar with the Company’s Flight Operations Manual.
5. Periodically work with various corporate staff organizations to schedule air travel in support of large, high-level group functions (Board Meetings, Executive Retreats, Senior Staff/Team meetings) that require the simultaneous utilization of the entire corporate fleet and/or supplemental aviation resources.
6. Work closely with the Chief Pilot and Aircraft Maintenance and Facilities Manager to confirm the availability, training, currency and fitness of crew and aircraft for a given flight.
7. Select terminals (Fixed Base Operators) at destination airports, and arrange ground transportation for passengers, and ground transportation and accommodations for crew if necessary, in coordination with aviation activities.
8. Monitor the catering requirements for flights, and assist flight attendants with catering arrangements for Company aircraft, as required.
9. Assist the Chief Pilot with scheduling policies and procedures that provide effective control and management.
10. Prepare manifests, general declarations, and other required documentation for business aircraft flights.
11. Communicate operational or administrative information to Pilots en route in the most efficient manner.
12. Provide flight following services so that Company management can be kept up-to-date on aircraft deployment.
13. Accommodate special requests whenever possible.
