Opportunity Profile:
We are currently seeking an Executive Assistant in our Strategic and Corporate Development department at our office located in the Chrysler Building in Midtown New York. This position will report to our SVP Strategic Development.

In this exciting role, the Executive Assistant will handle a wide variety of situations and conflicts involving clerical and administrative functions of the office. Key responsibilities will include:

• Perform a variety of administrative duties with wide latitude for exercising discretion and independent judgment in non-clerical matters.

• Serve as liaison between the SVP, Strategic Corporate Development and subsidiaries as well as with the Senior Management Team, effectively representing the objectives of the SVP, Strategic Corporate Development.

• Prepare Power Point presentations and assemble other materials as needed for meetings or projects.

• Coordinate executive meetings, telephone conference calls and departmental meetings.

• Establish and maintain an organized filing system for the department.

• Receive and answer correspondence in the name of the SVP, Strategic Corporate Development. Prepare draft answers for the SVP, Strategic Corporate Development in selected cases.

• Arrange for and schedule appointments for the SVP, Strategic Corporate Development, including interviewing callers and making proper referrals. Supervise the preparation of materials for meetings and presentations.

• Arrange business travel and hotel reservations.

• Coordinate and manage special projects.

• Monitor the office supplies budget and coding of invoices.

• Serve as a back-up for other administrative assistant(s).

The Executive Assistant is responsible for confidential and time sensitive material and prepares routine and advanced correspondence including letters, memoranda, and reports. The work assigned requires a high level of judgment and initiative in resolving problems and making recommendations.

Qualifications:
The successful candidate will have High School diploma plus a minimum of two (2) years of training beyond high school, and a minimum of five (5) years administrative/secretarial experience in a Corporate environment. Ability to work flexible hours required. However, a combination of experience and/or education will be taken into consideration.

The ability to work flexible hours is required. Excellent written and verbal communication, interpersonal, organization, and multitasking skills are required. Strong computer skills and a working knowledge of Microsoft Office Suite and Lotus Notes required.
